What to Prepare Before Requesting a UV Inkjet Project Quotation

Prepare samples, print files, line-layout information, data requirements and acceptance criteria to clarify the scope of a UV inkjet project quotation.

Asking for the price of one UV inkjet printer does not fully define a project quotation. Prepare a requirements sheet covering the product, print task, installation site and delivery scope so proposals can be compared on the same basis. This checklist supports initial discussion; it does not claim that any particular machine meets every requirement.

1. Prepare sample information. Record the print position, product dimensions, surface material and any coating. Start with photographs that include a size reference, then discuss physical samples. Avoid descriptions limited to broad categories such as plastic bags or cartons. Do not assume one sample establishes acceptance for every batch. Mark unknown material details as unconfirmed.

2. Provide print files and variable-data rules. Include the actual dimensions of text, dates, batch codes, graphics and QR codes. Identify fixed fields and fields that change for each item. Anonymize example data where necessary and label it as a sample rather than production data. For QR codes, describe the intended reading device and business purpose.

3. Document the installation site. Provide line photographs, available dimensions and the way products move through the print position. Describe normal running, changeovers, starts and stops separately. List existing power, conveying equipment, detection devices and mounting space. Leave unmeasured values pending a site check rather than treating estimates as final installation requirements.

4. Define data and equipment responsibilities. Specify whether content comes from manual entry, file import or an external system, and identify the system contact. Compare whether each quotation includes printing equipment, conveying and fixtures, pre- or post-treatment, vision inspection, software integration, installation and training. These are scope questions, not mandatory equipment for every project.

5. Prepare an acceptance record. Record the sample batch, print-file version, operating conditions, inspection method and results together. Agree on methods and acceptance criteria for readability, placement, adhesion and continuous operation according to the actual application. One attractive sample should not replace acceptance of the complete project.

Before sending an enquiry, check that sample photographs, dimension sheets and print files refer to the same version. For a Dengshilang project discussion, use the website contact page to describe the application and unresolved requirements, then discuss a proposal using sample and site information. Final configuration, pricing and delivery scope remain subject to mutually confirmed documents.
